This Privacy Policy explains what information we collect when you use our website and services, including CCS Checkup, the Quick CCS Calculator and Track My CCS, why we collect it, and how we use and protect it.

We are committed to handling your information with utmost care, transparency, and respect for your privacy.

1. About CCS Checkup

CCS Checkup is an independent, estimate-only decision-support tool designed to help Australian families understand their Child Care Subsidy estimates and explore possible CCS outcomes.

CCS Checkup helps you generate estimates and save scenarios based on the information you provide.

Important: CCS Checkup is not affiliated with Centrelink or Services Australia. CCS Checkup does not access your Centrelink or Services Australia records, and does not update or share information with Centrelink or Services Australia. Any official updates, questions or changes relating to your Child Care Subsidy must be made directly through Services Australia/Centrelink.

2. Information we collect

When you use CCS Checkup, we may collect or process different types of information.

Account information

When you create an account, we may collect basic account details such as:

  • your email address;
  • your full name, if provided;
  • your user role, such as user or admin;
  • account creation and update information.

CCS calculator and checkup data

To generate estimates and saved scenarios, you may enter CCS-related details. This may include information such as:

  • family type;
  • income estimates;
  • child details, such as age or school status;
  • care type;
  • care hours;
  • childcare fees;
  • activity or work-related information;
  • projected changes to income, care arrangements or family circumstances.

This information is used to provide your CCS estimates, checkups and saved scenarios within your account.

We do not sell this data. We do not share this data with Centrelink or Services Australia. Trusted service providers, such as Base44 for app hosting and data storage, may process this information as needed to operate and maintain the service.

Disclaimer acceptance records

CCS Checkup records when a user accepts the decision-support disclaimer. These records may include:

  • user ID, if logged in;
  • user email, if logged in;
  • anonymous session ID, if not logged in;
  • date and time of acceptance;
  • disclaimer version;
  • acceptance method;
  • source page;
  • domain;
  • device or browser-related information such as user agent.

These records help show that users were presented with and accepted the important decision-support disclaimer.

Payment information through Stripe

When you subscribe to Track My CCS, payment processing is handled securely by Stripe, our third-party payment processor.

CCS Checkup does not store your full payment card details.

We may receive and store Stripe identifiers, such as a Stripe customer ID or subscription ID, to manage your subscription status.

Please refer to Stripe's own privacy information for details about how Stripe handles payment information.

Usage data and analytics

We collect usage data to understand how CCS Checkup is being used and to improve the service. This may include:

  • page views;
  • page path;
  • current URL;
  • referrer or source, such as Google, Bing, direct, social, other or unknown;
  • clicks on buttons such as "Start My CCS Checkups" or "Get my free CCS snapshot";
  • login initiated events;
  • subscription start attempt events;
  • subscription success page views;
  • whether a user was logged in at the time of an event.

Usage data may be anonymous when you are not logged in, or account-associated when you are logged in.

We do not use analytics to view your detailed CCS calculator inputs, saved CCS profiles, family income details, child details, care arrangements or scenario data.

Google Search Console data

We use Google Search Console to monitor how CCS Checkup appears in Google Search. This helps us understand things such as:

  • search impressions;
  • clicks from Google Search;
  • search queries;
  • average position;
  • which pages appear in Google results.

Google Search Console does not collect personal user data from inside the CCS Checkup application.

App hosting through Base44

CCS Checkup is built and hosted on the Base44 platform. Base44 provides the app infrastructure used to run CCS Checkup and store app data. Base44 may process data as needed to operate, host and maintain the service.

3. How we use your information

We use your information to:

  • provide and manage your CCS Checkup account;
  • provide the Quick CCS Calculator;
  • provide Track My CCS;
  • generate CCS estimates based on the details you enter;
  • save your checkup scenarios;
  • manage subscription status;
  • process subscription payments through Stripe;
  • show and record acceptance of important disclaimers;
  • improve the app and understand how people use it;
  • respond to support, privacy, access, correction or deletion requests;
  • maintain security, reliability and compliance.

4. How we share your information

We do not sell, rent or trade your personal information.

We may share or process information with trusted service providers only as needed to operate CCS Checkup. These may include:

  • Base44, for app hosting, data storage and platform services;
  • Stripe, for secure payment processing;
  • Google Search Console, for search performance monitoring.

We do not share your CCS calculator or checkup data with Centrelink or Services Australia.

We may also disclose information if required by law, regulation, legal process or a valid request from a public authority.

5. Admin access to your data

We are committed to limiting access to your information.

As the app administrator, we may be able to see:

  • basic account information, such as email address, full name and role;
  • disclaimer acceptance records;
  • analytics events and their properties;
  • Stripe customer and subscription identifiers linked to your account.

Due to built-in security controls, including row-level security, we do not have general access to your detailed CCS calculator inputs, saved CCS profiles, family income details, child details, care arrangements or scenario data.

That detailed information is restricted to your user account. We would only seek access to such information if you explicitly grant permission for technical support or troubleshooting, or if access is otherwise required for lawful or security-related reasons.

6. Email communications and marketing

CCS Checkup may send or support essential transactional or service-related communications, such as emails relating to login, account access, security, subscriptions, payments or important service information.

CCS Checkup does not intend to send marketing, promotional, product update, onboarding or non-essential emails to users unless users have clearly opted in to receive those communications.

We are aware that some CCS Checkup users have received Base44-branded or platform-originated emails. We are reviewing this with Base44 to understand what emails are sent, what triggers them, who receives them, and how non-essential emails can be disabled or controlled.

If you receive a non-essential or promotional email that you do not wish to receive, you should use any unsubscribe link provided in that email and may also contact us through the details below.

We aim to ensure CCS Checkup users only receive essential transactional/service emails unless they have clearly opted in to receive other communications.

7. Data security

We take reasonable steps to protect your information from misuse, interference, loss, unauthorised access, modification or disclosure.

This includes using secure app hosting through Base44 and secure payment processing through Stripe.

However, no method of transmission over the internet or electronic storage is completely secure. We cannot guarantee absolute security.

8. Your privacy rights

You may contact us to request access to, correction of, or deletion of your personal information.

You can access and update some account information by logging into your CCS Checkup account.

If you wish to delete your account or request deletion of specific data, please contact us using the details below. We will take reasonable steps to respond to your request, subject to any legal, security, accounting or operational obligations that may require us to retain certain information.

9. Changes to this Privacy Policy

We may update this Privacy Policy from time to time to reflect changes to our services, data handling practices, legal requirements or platform providers.

If we make material changes, we will update the effective date at the top of this page.
